VR Theatrical Costume & Prop Hire Terms and Conditions

1. Company Details

1.1 VR Theatrical (PTY Ltd) is a theatre production and rental company offering costume and prop hire services.
1.2 All rentals are made under VR Theatrical (PTY Ltd) standard terms and conditions.

2. Rental Process

2.1 Clients will receive confirmation of availability and rental quotes by email after receiving their enquiry.
2.2 Orders are confirmed upon receipt of deposit and signed rental agreement.

3. Rental Period

3.1 The hire period is defined as the duration agreed upon between the renter and VR Theatrical, typically starting from the date of collection or delivery and ending on the date of return or pick-up by VR Theatrical.
3.2 Any extensions to the hire period must be approved in writing prior to expiry.

4. Collection & Delivery

4.1 Customers may collect items from the VR Theatrical warehouse at the agreed date and time.
4.2 Delivery and collection via courier or VR Theatrical transport is available at additional cost.
4.3 Customers are responsible for the condition of goods until items are returned and signed off by VR Theatrical.

5. Payments & Deposits

5.1 All payments, including deposits, must be made in full before the rental period begins unless otherwise agreed in writing. The renter assumes full responsibility for all payments and obligations.
5.2 Deposits are refundable unless the cancellation is initiated by the renter less than the agreed notice period.
5.3 The renter assumes full responsibility for any damage or loss of items during the rental period.

6. Damage & Loss

6.1 Any damage, loss, or theft of items during the hire period will be charged to the renter at full replacement or repair cost.
6.2 Items must be returned in the same condition as received, ordinary wear and tear excepted.

7. Customer Pick-Up

7.1 Customers must ensure their vehicle has adequate space to transport items safely.
7.2 Customers are responsible for protecting rented items during transit with appropriate materials (e.g., covers, blankets).
7.3 VR Theatrical will not be liable for damage to items caused by insufficient vehicle space or inadequate protective measures during customer pick-up.

8. General Responsibilities

8.1 The renter agrees to use all items responsibly and according to their intended purpose.
8.2 VR Theatrical reserves the right to refuse hire or cancel agreements if misuse or inappropriate handling is suspected.

9. Cancellation Fees

9.1 See Terms & Conditions Standard Hire Period for hire period definition. Please note that the deposit is non-refundable in all scenarios:

• More than 21 days before day one of your hire: 80% of full hire value refunded.

• Between 21 and 14 days before day one of your hire: 50% of full hire value refunded.

• Between 13 and 7 days before day one of your hire: 25% of full hire value refunded.

• Less than 7 days before day one of your hire: No refund available.
